Fleet Administration Officer – Western QLD Local Council

Western Queensland Region (Remote)

Role Overview

The Fleet Administration Officer is integral to the effective functioning of the Workshop Team, providing reliable and timely administrative support across all areas relating to Council's fleet, plant and equipment.

In this role, you will assist with the acquisition of fleet assets, coordinate servicing and repairs, maintain compliance requirements, and ensure accurate and up-to-date records are kept. Working collaboratively with both internal stakeholders and external suppliers, you will help ensure fleet operations run efficiently across the organisation.

Benefits

* Fantastic hourly rate – $50-$60 per hour (negotiated based on experience)
* Initial 3 months with possible 3 month extension
* Monday to Friday – 36.75 hours per week
* Housing provided for the term of appointment
* Travel to site at the start and travel home at the end covered

Key Responsibilities

* Provide administrative support to the Workshop Team, maintaining procedures, registers and accurate fleet records
* Assist in managing Council's plant replacement program, including fleet acquisitions and disposals
* Support the implementation and maintenance of Fleet Asset Management systems and plans
* Ensure fleet registration and compliance with Queensland Transport regulations, including insurance processes
* Coordinate fleet maintenance requests, scheduling servicing and following up outstanding works
* Assist with procurement activities including sourcing quotes, coordinating suppliers and supporting tenders
* Maintain fleet data including logbooks, timesheets, plant sheets and reporting requirements
* Support Workplace Health and Safety processes including documentation, hazard tracking and compliance activities
* Liaise with internal departments, operators and contractors to ensure efficient fleet operations
* Provide responsive customer service to internal stakeholders and the community

Qualifications and Experience

* Demonstrated experience in an administrative role, ideally within Local Government or a fleet/workshop environment
* Experience with procurement, scheduling or maintenance coordination is highly regarded
* Strong organisational skills with the ability to prioritise and manage multiple tasks
* Excellent communication and interpersonal skills, with the ability to engage across all levels
* High attention to detail and ability to work with accuracy and initiative
* Proficiency in Microsoft Office applications (Word, Excel, Outlook)
* Ability to work independently and as part of a team in a flexible environment
* Current 'C' Class Driver's Licence (mandatory)
* Certificate IV in Business Administration or related discipline
* Experience in fleet or workshop operations within Local Government
* First Aid and CPR certification
