We are seeking a proactive and experienced Admin Manager to join our medical centre.
In this pivotal role, you will oversee the day-to-day administrative operations, manage our front-of-house team, and ensure the smooth and efficient functioning of the clinic.
Responsibilities:
Lead and mentor the medical reception team, providing guidance, training, and performance feedback.
Develop and implement administrative policies and procedures to optimize efficiency and patient flow.
Manage staff rosters, leave requests, and payroll-related administrative tasks.
Oversee all front-desk operations, including appointment scheduling, patient registration, and billing processes (Medicare, DVA, and private).
Process and manage payroll for all staff, ensuring accuracy and compliance with relevant legislation.
Handle complex patient inquiries and resolve escalated issues with professionalism and empathy.
Manage and maintain accurate patient records, ensuring strict adherence to confidentiality protocols.
Coordinate with doctors and clinical staff to support their administrative needs and improve workflow.
Manage clinic supplies, equipment, and vendor relationships.
Assist with financial reporting and general bookkeeping duties.
What We're Looking For:
Proven experience in a medical administration or similar management role at a general medical practice.
Previous experience in payroll processing is highly preferred.
Familiarity with PRODA (Provider Digital Access) and its use for online government services is a significant advantage.
Exceptional leadership and team-building skills.
Strong problem-solving and decision-making abilities.
Excellent communication, interpersonal, and conflict-resolution skills.
Advanced computer and administrative skills, with proficiency in medical software like Best Practice.
