Ologist – Specialist Doctors of Darwin
Ologist is a growing multidisciplinary specialist medical practice in Darwin. We are seeking a casual Administrative Assistant to support our reception and nursing teams and assist with the smooth day-to-day running of the practice.
This is a hands-on role suited to someone organised, reliable and proactive. While the position is casual, it is expected to involve regular ongoing shifts, with approximately two days per week based at reception and remaining shifts focused on back-of-house administrative and operational support.
Key responsibilities
• Managing patient waitlists, including monitoring appointment confirmations and updating records
• Chasing outstanding radiology reports, pathology results and clinical documentation
• Scanning, uploading and filing patient documentation
• Completing pre-appointment checks to ensure required documentation and results are received prior to appointments
• Weekly review of upcoming appointments to ensure valid referrals are in place
• Processing online patient forms and filing into patient records
• Billing for non-attendances and late cancellations
• Removing patients from waitlists when no longer required and maintaining accurate records
• Manual data entry for internal staff KPIs and reporting
• Stock and consumables management, including ordering, unpacking and storage
• Maintaining tidy staff and patient areas (tearooms, bathrooms, waiting areas and back-of-house areas)
• General practice support tasks, including assisting the team during busy periods and coordinating staff lunches when required
Reception component
• Standard medical reception duties during rostered reception shifts
• Acting as an on-site support resource to step in when reception is busy
About you
• Highly organised with strong attention to detail
• Comfortable managing multiple tasks and following established processes
• Confident with computers and willing to learn medical software (experience with Gentu advantageous but not required)
• Professional, reliable and team-oriented
• No prior medical administration experience required — training will be provided
Additional information
• Casual employment under the Health Professionals and Support Services Award
• Shifts will be rostered during normal clinic operating times, with hours varying week to week
• Police Check and Working With Children Check are required
• Start date: ASAP
• This role is offered on a casual basis. Ongoing shifts are not guaranteed; however, for the right candidate, there may be an opportunity to discuss transition to a permanent part-time or full-time role in the future.
Successful candidates must be available for 25+ hours per week to meet the operational requirements of this position.
