The Specialist Consulting Administration Team is the central coordination point for our service. From managing referrals and scheduling complex clinics to liaising with patients, families, and external stakeholders, the team ensures the consulting service operates smoothly and professionally. About the Role
This full‐time position is primarily responsible for managing daily clinic operations and overseeing all the associated tasks that are required to be completed. This position is also responsible for supporting clerical staff to meet performance requirements, implementing changes in processes and procedures as well as the delivery of training and education packages.
We are seeking a compassionate and motivated individual who has outstanding leadership and customer service skills to join the team at Monash Health Specialist Consulting (Outpatients) Dandenong.
The Clinic and Access Coordinators provide strong leadership to our clinic administration team and support services for our clinical teams and their patients. The Specialist Consulting (Outpatients) team is responsible for ensuring the patient experience is second to none and is treated with respect and dignity while seeking the support and services of Monash Health.
Day to day, you will:
* Lead and continuously improve clinic processes to enhance efficiency and patient experience.
* Coordinate daily clinic operations, including workflows, capacity, and resource utilisation.
* Provide operational leadership and support to clerical staff, including performance oversight and leave coverage.
* Serve as the key contact for clinicians, staff, and patients, resolving and escalating issues as required.
* Coach and support staff to achieve KPIs through capability development and process improvement.
* Proactively identify, manage, and elevate operational risks to ensure service continuity and quality.
* Oversee equipment and supplies to maintain uninterrupted clinic operations.
* Support the implementation of strategic initiatives and systems that enable high‐quality care at the point of service delivery.
About You
You are a proactive, experienced and motivated healthcare administrator and leader who enjoys working in a fast paced environment. Working in a hospital environment doesn't faze you and you are able to maintain and demonstrate integrity, compassion, accountability, respect and excellence.
You will also have:
* Ability to coach and train others to achieve successful outcomes
* Previous experience identifying and implementing changes to processes and procedures
* Proven organisational skills and can work autonomously
* Demonstrable ability to manage a range of administration responsibilities across a number of areas
* A quality focus whilst ensuring work is completed within the required time frames
* A flexible approach to staggered start and finish times
