Position Summary
The Office Administrator is responsible for overseeing all administrative functions, supporting project coordination and managing office operations. This role ensures smooth communication between clients, subcontractors, and the building team while maintaining efficient office procedures and financial records.
Key Responsibilities
· Office Administration:
· Maintain office records, files and documentation.
· Manage calendars, appointments, and meetings.
· Answer and direct phone calls and emails.
· Order and manage office supplies.
· Financial Support:
· Process invoices and manage accounts payable/receivable.
· Project Coordination:
· Assist in preparing job documentation, contracts, and variations.
· Schedule and coordinate site visits and inspections.
· Manage pre-site certifications and approvals to ensure compliance with regulations.
· Client & Vendor Relations:
· Act as the first point of contact for clients and vendors.
· Maintain records and ensure selections align with project scope and budget.
· Sign off from customer selections.
· Provide excellent customer service and resolve enquiries.
· HR & Employee Support:
· Process payroll and ensure compliance with labour regulations.
Skills & Qualifications
· Experience in office management, preferably in construction.
· Strong organizational, multitasking, and time-management skills.
· Proficiency in MS Office Suite, MYOB and Buidxact software.
· Excellent communication skills, both written and verbal.
· Familiarity with bookkeeping, payroll, and invoicing is an advantage.
Education & Experience
· High school diploma preferred; business or construction-related degree preferred.
· Previous experience in office management, administration, or customer service.
Working Conditions
· Full-time, 8:30 AM – 5:00 PM.
· Fast paced, growing residential construction environment.
