Primary objective
To provide high‑quality strategic, administrative, and governance support that enables effective program, project, and operational delivery
across the division, coordinating key organisational processes - including stakeholder engagement, secretariat functions, and records
management—to ensure efficient decision‑making and information flow.
Context statement
The Strategic Projects branch ensures that programs and projects align with agency, Northern Territory Government (NTG), and Australian
Government priorities. It promotes and maintains program management standards, ensuring consistent delivery and portfolio reporting.
The branch also leads the response to strategic digital technology priorities and guides the department's digital direction. The team
develops and implements tactical plans to ensure the efficient delivery of enterprise applications and digital services, working closely with
business areas, OneNTG partners, consultants, and business analysts to achieve outcomes.
Key duties and responsibilities
1. Provide high level secretariat and governance support to project governance groups, committees, and boards, including coordinating
meetings, preparing agendas and papers, taking accurate minutes, and monitoring action items to ensure effective and timely decision
making.
1. Prepare, contribute to, and coordinate high quality written outputs such as correspondence, briefings, reports, and whole of
government responses, ensuring all documentation meets departmental standards, quality controls, and workflow processes.
1. Build and maintain strong working relationships with internal staff at all levels and external stakeholders to support effective
communication, consultation, and the delivery of administrative, governance, and project/program management activities.
1. Develop, implement, and maintain administrative systems and processes to ensure efficient operations, accurate record keeping, and
the achievement of work objectives across project and governance functions.
1. Support departmental staff and project teams to ensure consistent adherence to project management frameworks, standards, and
processes required by the Enterprise Project Management Office.
1. Provide support of governance and project administration activities, identifying opportunities to strengthen processes, enhance
communication, and improve decision support mechanisms across programs and initiatives.
Selection criteria
Essential
1. Demonstrated experience in providing a high standard of executive secretariat and administrative support, with the ability to provide
effective professional advice in relation to procedures, requirements and protocols.
2. Well-developed written and interpersonal communication skills, including the ability to proofread and prepare accurate and concise
content for inclusion in general correspondence, Ministerial documents and briefing papers.
3. Strong organisational skills with the ability to manage competing priorities, track deadlines, and work effectively both autonomously
and as part of a team.
4. Demonstrated experience handling sensitive and confidential information with discretion and integrity
5. High level of proficiency in the use of office automation software, including the Microsoft Office suite, records management systems,
financial systems, spreadsheets and databases
6. Proven ability to develop and maintain effective and collaborative working relationships with a diverse range of stakeholders, including
technical and business representatives.
Desirable
1. Tertiary qualifications in education, project management, business or similar.
2. Experience working in an educational and/or training context.
