**About the Role**:
WorkPac on behalf of our leading Fire and Security client are seeking an Administration Assistant Trainee.

**Key Responsibilities**:
Process invoicing for BU's and ensure invoices are issued in accordance with customer agreements.
Assist with project documentation, file management and archiving.
Ensure calls are answered promptly.
Orders are Managed and customers are notified of any changes.
Provide administrative support to sales and marketing teams.
Maintain and manage customer and financial databases.
Support accounts department in preparing statements and reports.
Provide logistic support to administrative staff.
Manage office expenses within the branch budget limits.
Organize and maintain effective filing systems.
Manage and update all databases.
Prepare payroll records/timesheets and verify.
Assist audit team in branch office auditing.
Prepare financial and administrative reports for the head office.
Regular management of Customer orders to assist Commercial team to meet budgetary targets.
Support Sales team by ensuring all customer orders are fulfilled and invoiced on time.
Induction management '" maintaining induction material, organising customer site inductions, organising medicals, data entry induction requirements into customer portals.
Call logging/dispatch using field service.
In conjunction with Supervisors, schedule personnel to meet service schedule obligations.
Assign Technicians to customer sites in response to unplanned service routines.
On direction from the Operations Manager organise subcontractors to carry out service work
Order materials as required by Technicians.
Update suppler invoices on the arrival of goods.
Maintain site notes as required in conjunction with Technicians.
Update customer database as required.
Support the location Customer Service Centre Team when required.
Provide administrative support to sales team.
Maintain and manage customer and financial databases.
Other activities as required by the Management Team.
