Clyde & Co has an exciting opportunity for a Legal Assistant who is looking to gain broad experience within a global law firm setting.
Working alongside and in amongst a team of legal support staff within a defendant insurance practice area, you will quickly gain the experience and skills which will lead you towards solid career progression opportunities.
Assisting allocated fee earners to manage the operational aspects of their practice, you will have a positive, solution focused attitude and enjoy taking ownership and initiative. You will proactively stay one step ahead so they can focus on the legal work, whilst you drive the operations and support side.
**Key responsibilities**
Primary purpose: Our legal assistants provide a range of administrative support to a number of fee earners in order to manage their practice including assisting with document drafting, billing, client relationship management as well as general diary and inbox management.
Your day to day responsibilities will include but not be limited to:
- Providing high level legal administrative support to fee earners as required
- General administration including inbox management, drafting correspondence and court documents
- Monthly billing, including ensuring that client SLA's and specific billing requirements are followed
- Attending to client and matter queries, including managing the process of opening new clients and matters, through to closure of a matter
- Generating briefs to counsel and liaising with junior and senior counsel on matter coordination
- Capturing and recording fee earner time including business development activities and liaising with clients
- Diary management, including organising internal and external client meetings and arranging travel
- All other ad hoc duties as required.
Client and matter
- Attending to client and matter queries
- Assisting lawyers with various paralegal tasks including drafting of Court documents and attending to Court e-filing
- Organising appointments
- Downloading subpoena packets and saving as per naming guidelines
- Assisting with the preparation of court documents which includes labelling, indexing, preparing files, briefs to counsel, court bundles
- Liaising with third parties (booking in IMO assessments, chasing responses to Court docs etc).
Finance
- Process third party invoices and disbursements
- Compile and prepare fee earner expenses
- Assist the fee earners with timesheets in the firm's time management system, Intapp Time
- Provide assistance with the preparation of client reports.
**Essential skills and experience**
- 6 months to 2 years legal assistant or professional services experience
- Time management skills to complete tasks efficiently
- Superior attention to detail
- Professionalism and service excellence with clear and concise communication
- Flexibility to work autonomously and as part of a team environment
- Experience with billing and file management (Elite 3E and iManage will be highly regarded)
- A positive attitude to work, and an adaptable and collaborative approach
- A natural willingness to provide assistance with work-related fee earner requests as required.
