About The Role
Join us as a Full-Time Base Administrator and play a crucial role in the smooth operation of our Toowoomba Base.
You'll be the go-to person for administrative support, coordination, communication, and general assistance supporting our base teams in delivering exceptional service every day.
Key Responsibilities
Deliver general base administration, including preparing documentation, maintaining records, filing, and managing incoming and outgoing mail and deliveries.
Coordinate base resources, including routine and emergency maintenance, utilities, facilities, crew accommodation, vehicles, and consumable supplies.
Act as the primary point of contact for base and community enquiries, providing support and directing queries to the appropriate teams.
Manage the base calendar, scheduling meetings and events, securing venues, preparing spaces, and organising catering and resources.
Support financial administration by processing purchase and funding requests, reconciling credit card transactions, and assisting with annual budgeting.
Provide crew and base administration support, including timesheets, travel, accommodation bookings, and general assistance to base staff.
Support community and base events through asset coordination, event preparation, platform updates, and collaboration with the Community Engagement team.
About You
Previous experience (minimum 3 years) in a similar administration role.
Advanced skills in Microsoft Office Suite including MS Teams.
High written and verbal communication skills.
A welcoming, professional manner and excellent telephone etiquette.
Strong attention to detail and organisational skills.
Excellent multi-tasking and time-management skills and ability to handle competing priorities with a positive approach.
Strong interpersonal skills and the ability to build professional relationships across the organisation.
The ability to work independently, show initiative, and proactively support the team.
A quick learning mindset with the ability to understand new processes accurately.
A commitment to safety, including being comfortable serving as a Fire Warden for the Toowoomba Base.
Certificate III or IV in Business Administration (Desirable).
Experience in aviation or healthcare is beneficial, though not essential.
