The Role
We're seeking an experienced, proactive and responsible individual who is ready to contribute to diverse daily operations in a friendly and hardworking office.
Ensuring smooth day‐to‐day operations, the Office Coordinator is responsible for providing a positive experience both within our office and studio environments to staff and clients, whilst maintaining and improving the organisation's culture.
This diverse role means that no two days will be the same, and your responsibilities will range from general administrative support to project assistance and file management, including bookkeeping. You have the ability to maintain a high level of confidentiality, whilst being a warm and personable support to the wider Girraphic team, championing company culture at all times. Your attention to detail is second‐to‐none, whilst having the ability to work in a dynamic, deadline‐driven environment.
This role is full time, based in our Sydney office.
Key Responsibilities
* Maintenance of physical office & space, inventory of kitchen, office supplies, and ensuring all have a clean and safe working environment
* Administer HR procedures, including onboarding new employees & maintaining Bamboo HR
* Travel and Arrangements, including domestic & international travel for both Girraphic team and freelance crew (as required)
* Oversee Accounts Payable & Receivable
* Credit Card Management and Reconciliation
* Maintain Office & Production Calendars
* Oversee studio scheduling and all operational requirements at the direction of management
* Support all members of the Girraphic team – anticipating needs, planning and executing with limited direction
* Coordinate purchasing of IT requirements and other hardware as directed
* Manage office supplies and purchasing
* Oversee all subscription, insurance and licensing requirements
* Provide support to our CEO and Senior leadership team with ad‐hoc requests and general administrative tasks from time to time
* Provide exceptional hospitality to clients, vendors, and visitors
Preferred Qualifications & Experience
* 3 – 4 years experience in a similar role
* Working knowledge of Xero & BambooHR
* Experience in data entry, record keeping, and computer operation
* Undergraduate degree in Business Administration & Accounting, Event or Project Management (or similar)
* At least 3 years of solid bookkeeping experience
* Experience within Broadcast or Live Production environment
* G‐Suite
* Microsoft Office Suite
