An opportunity exists for a dynamic Administration Manager to join our friendly team. This role will allow you to demonstrate strong administration, record‐keeping and interpersonal skills within an organisation that values collaborative teamwork.
Your can‐do attitude will be a valuable asset in this fast‐paced, family‐focused, boutique aged care organisation. This is a full‐time role, 8:00 a.m. – 4:00 p.m., Monday to Friday.
Reporting to the Residential Care Manager, the Administration Manager will be responsible for all office management, reception, and administrative duties pertaining to staff and residents.
Responsibilities
* Answer phone calls and greet visitors to the home.
* Respond to communication from various stakeholders.
* Manage employee onboarding, offboarding and maintain accurate HR documentation for the full employee lifecycle.
* Support the head office team with onsite staff recruitment requirements.
* Manage internal administration and documents for residents and staff.
* Plan and coordinate all staff education and training competencies.
* Manage the onsite staffing roster, including arranging shift coverage.
* Answer general inquiries to the home.
* Support the day‐to‐day running of the home, including preparing rooms for tours, ordering supplies, managing visitor screening and meeting bookings.
* Assist residents with appointment bookings and serve as a key point of contact with resident family members and the clinical team onsite.
* Manage onsite staff engagement and recognition initiatives as directed.
* Support other departments and head office team with administrative functions.
* Assist the facility manager in completing tasks in a timely manner.
* Assist with meeting auditing and accreditation standards.
* Other admin duties as required.
Skills & Experience Required
* A genuine desire to work in aged care and within a highly regulated but person‐centred environment.
* A friendly and approachable demeanour that meets residents, family members and staff with kindness and compassion.
* Experience in an administrative role with similar demands.
* Experience managing employee onboarding, offboarding and maintaining accurate HR documentation for the full employee lifecycle.
* Highly organised individual with customer‐service experience.
* Ability to work independently, autonomously and meet strict deadlines.
* High attention to detail, friendly and professional phone manner, and strong organisational and prioritisation skills.
* Excellent Microsoft Office skills, particularly Outlook and Excel.
* Experience working in a service‐oriented environment will be highly regarded.
* Excellent written and oral communication skills.
* Assist with meeting auditing and accreditation standards.
* Ability to coordinate and organise appointments with stakeholders.
* Excellent interpersonal skills to enable liaison between departments.
* Ability to effectively coordinate tours at the facility.
* Ability to be an ambassador of the organisation and display its core values.
* Ability to work in a fast‐paced environment with excellent multitasking skills.
