About The Role
As a CBRE Facilities Manager, you will manage a team responsible for overseeing building operations and maintenance for a facility, campus, or portfolio of small to medium sized buildings. This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Property Managers regarding all repairs and investment plans.
What You'll Do
* Reports directly to the ANZ Hub Lead with responsibility for overseeing and/or coordinating maintenance/repair work assignments performed by technicians, vendors and contractors performing property maintenance and soft services across the portfolio.
* Responds, interfaces with client to understand their inquiries and feedback. Ensures timely and quality service delivery to clients. Follows up with clients to ensure and improve customer satisfaction.
* Performs daily inspection within a corporate office for amenities cleanliness and to provide comfortable ambiences for the occupants. Keen eye to observe workplace safety.
* Proficient in raising and closing work orders and/or building management requests using a Computer Maintenance Management System.
* Supports the FM team on reviewing periodic reports including financials, accruals, and explains variances.
* Assists in the preparation of operating and capital budgets.
* Sets up and sets down events including business coordination, AV vendor planning, etc.
* Assists in preparing monthly Key Performance Indicator reports.
* Manages utility trackers and identifies operation cost‐saving initiatives.
* Processes monthly invoices to ensure timely payment to vendors.
* Obtains and compares quotations, provides business justification to clients for approval, and supports creation and issuance of purchase orders to vendors in a timely manner.
* Performs move and churn activities and updates floor plans.
* Conducts and implements regular vendor performance management, maintaining and developing good relationships with vendors and building management.
* Reviews service agreement contracts and develops standard operating procedures for site operation.
* Supports the FM team/Procurement in developing scopes of work, obtaining necessary vendor setup forms and documentation.
* Manages inventory such as water filters, face masks, work tools, etc.
* Supports meeting room setup.
What You'll Need
* Minimum of five years of related experience and/or training. Associate's degree or Bachelor's degree preferred with a focus on business or management areas. Prior vendor supervisory experience preferred.
* Facility Management certification preferred.
* Good knowledge of workplace safety, including but not limited to understanding risk assessment, method statements, and safety data sheets.
* Excellent written and verbal communication skills, strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers.
* Ability to effectively present information and respond to sensitive issues.
* Ability to respond to workplace incidents.
* Good knowledge of financial terms and principles for operation and capital expenditure budgeting.
* Ability to comprehend, analyze, and interpret service agreement documents. Advanced analytical and quantitative skills to solve complex problems.
* Intermediate skills with Microsoft Office Suite, Outlook, and the intranet/internet. Proficiency in using a Computer Maintenance Management system for work orders, building management requests, invoicing and purchase orders.
* Working knowledge of architectural and office layout plans, leases, sourcing contracts and related documents.
