The Veterinary Receptionist position assists and supports the Veterinary Department - Healesville Sanctuary to ensure effective daily operations through high level administration, records and internal and external communications as well as some support to the nursing staff. This role works across Friday, Saturday and Sunday each week with a total of 14 hours per week.
Key Responsibilities of this role include:
* Receptionist duties to include greeting visitors, responding to queries (phone and email), animal admission and discharges, scheduling appointments and meetings for the AWHC team.
* Provide accurate, timely administrative and organisational support to members of the AWHC as required, including data entry, filling, photocopying, word processing, management of hard copy medical records, archiving, management of electronic files and folders, data entry into ZIMS and packaging samples.
* Assist with the maintaining levels of stock (stationary and clinical supplies) throughout the hospital - ensure all office equipment is maintained and serviced as required, restock ward and hospital areas under direction of nursing staff, identify items for reordering and notify admin staff.
* Effectively liaise with life science staff, wildlife rehabilitators and other AWHC visitors/customers as required with a high level of customer service regarding animals in hospital, in their care and in the community.
* Assist and support the team with tasks such as food preparation, cleaning, washing and enclosure set up.
* Any other duties as reasonably requested by the Life Sciences Manager or associated HS or ZV stakeholders.
Selection Criteria:
* A minimum of one year experience in a customer-facing role with relevant receptionist experience including answering the phone, meeting and greeting clients and making appointments.
* Some experience in animal handling and/or working in an animal care or health care facility is desirable but not essential.
* Demonstrated computer skills, particularly in records and database management with sound knowledge of all Microsoft Office programs and ability to learn and gain knowledge of ZIMS is essential.
* Demonstrated verbal and written communication skills with a high level of attention to detail and accuracy.
* Demonstrated time management skills and ability to manage competing priorities.
* Demonstrated understanding of, and commitment to, safe work practices.
* Proven ability to develop effective and supporting relationships with colleagues with proven communication and interpersonal skills, demonstrated ability to work effectively in a diverse team environment.
* Demonstrated flexibility and ability to cope in a busy and high-pressure work environment.
* Able to work unsupervised, sound problem-solving skills and initiative.
