Role Overview

Gympie Regional Council has an exciting opportunity for an existing GRC employee who is a skilled administrator to join our Resource Recovery Branch. The Administration Officer plays a key role in delivering exceptional customer service to both internal and external customers, including residents and contractors, while providing efficient and accurate administrative support to the Resource Recovery team within the Community Sustainability Directorate.

This position is responsible for responding to requests in a timely and precise manner, managing a high volume of administrative and reactive workloads, and supporting the effective delivery of operational business outcomes.

Working with a strong sense of autonomy, collaboration, initiative, and reliability, the role contributes to achieving team and organisational goals with passion and drive.

Key functions include providing high-quality frontline customer service, contract administration support for the domestic waste service, and ensuring accurate management of waste-related data in accordance with Council's legislative and operational requirements

Essential Knowledge & Skills:

* Administrative and Project Support: Proven experience providing high-level administrative and project support within a waste management or related operational environment.

* Customer Service: Demonstrated commitment to delivering exceptional customer service to both internal and external stakeholders.

* Data and Systems Management: Strong proficiency in Excel, database management, and financial data analysis, with the ability to interpret, report, and maintain accurate information.

* Digital Proficiency: Skilled in the use of Microsoft 365 applications and other corporate systems to support efficient administrative processes.

* Time Management: Demonstrated ability to prioritise tasks, manage time effectively, and meet competing deadlines in a fast-paced environment.

* Flexibility and Adaptability: Proven capacity to adapt to changing operational priorities and respond proactively to emerging needs.

* Teamwork and Independence: Ability to work effectively both independently and collaboratively within a dynamic team environment to achieve organisational goals.

* Communication and Confidentiality: Excellent written and verbal communication skills, with a clear understanding of the importance of discretion, confidentiality, and professionalism in all interactions.

* Queensland 'C' Class driver's licence that is current and maintained.

Essential Requirements:

* Deliver timely, accurate, and efficient administrative support to meet the operational needs of the Resource Recovery team.

* Provide exceptional frontline customer service to internal and external customers, representing Council and the Directorate with professionalism and respect.

* Coordinate and manage requests and enquiries related to community waste services, including internal support for waste software systems.

* Maintain and analyse environmental, contractual, and financial data to ensure compliance with licensing and contractor obligations for community waste and Council's waste facilities.

* Administer and monitor workflows relating to community waste and resource recovery services, ensuring accurate communication between contractors, internal stakeholders, and customers.

* Prepare and process purchase orders, invoices, and payments in line with Council's procurement policies.

* Provide administrative support for public place waste operations, waste facility management, and associated data reporting.

* Support the delivery of Resource Recovery community education and engagement initiatives that promote responsible waste and recycling practices.

* Maintain accurate records, reporting, and documentation required for regulatory compliance and operational performance.

* Proactively identify process improvements, resolve administrative issues, and contribute to a collaborative, solutions-focused team culture.

* Foster positive and professional relationships with internal teams, contractors, and the community to support efficient service delivery and continuous improvement
