About the role
We are seeking an organised and proactive Office & Accounts Assistant to support our growing team in our Rockingham office. This role is ideal for a junior or early‑career administrator who is looking to build hands‑on experience across office administration and accounts support, while learning on the job in a supportive environment.
Working closely with the Finance and Administration Manager, you will play a key role in supporting day‑to‑day office operations and assisting the finance function, particularly in accounts payable and receivable. This is an office-based role.
Key responsibilities
Office & administration support
* Manage incoming and outgoing mail, couriers and deliveries
* Coordinate office supplies, equipment and consumables inventory
* Assist with IT equipment coordination, including laptops and mobile phones
* Maintain shared folders, records and administrative documentation
* Support meeting coordination, bookings and logistics
* Assist with tender submissions and client‑requested documentation
* Provide general administrative support to directors, managers and project teams
Accounts & finance support
* Assist with supplier and subcontractor onboarding and set‑up in Xero
* Enter draft supplier invoices in Xero in accordance with company procedures
* Assist with staff reimbursements and expense processing in Dext
* Support credit applications and vendor documentation
* Assist with collecting documentation for credit card and bank reconciliations
* Provide general accounts support to the finance team as required
People & culture support
* Assist with onboarding new employees
* Support mobilisation activities including travel, accommodation, PPE and inductions
* Provide administrative support to People & Culture initiatives
About you
This role suits someone who is organised, detail‑focused and eager to learn.
You will ideally have:
* Experience in office administration or a junior accounts role (or strong transferable skills)
* Confidence using Microsoft Office, particularly Excel
* Exposure to accounting systems such as Xero (preferred, not essential)
* Strong attention to detail and time‑management skills
* A positive, team‑focused attitude
* Clear communication skills and a willingness to learn new systems and processes
