Executive Assistant - Emergency Department
The Emergency Department is a large, fast-paced service that operates 24/7 as the main referral centre for Northern Tasmania. Our team provides timely, high-quality care for patients presenting with a wide range of acute medical and trauma conditions.
Job Responsibilities
* Provide high-level executive and administrative support to our leadership team.
* Manage complex calendars, coordinate meetings, prepare agendas, and take accurate minutes.
* Draft, review, and manage confidential correspondence, reports, and briefing materials.
* Act as the first point of contact for internal and external stakeholders, ensuring professional and timely communication.
* Support the flow of information between departments.
* Monitor and manage priority tasks and deadlines in a fast-paced environment.
* Maintain accurate records, filing systems, and administrative processes in line with industry standards.
Requirements
* Strong organisational and time-management skills, with the ability to manage competing priorities.
* High-level written and verbal communication skills, with the ability to prepare accurate documentation.
* Proven experience providing executive or senior administrative support, ideally within a complex organisation.
* Demonstrated ability to exercise discretion, confidentiality, and sound judgment when dealing with sensitive information.
* Strong interpersonal skills, with the ability to build effective working relationships across all levels of the organisation.
* Proficiency in Microsoft Office and other relevant software.
* Initiative, flexibility, and problem-solving skills to support effective decision-making and day-to-day operations.
