Overview
Role: Bring energy, enthusiasm and efficiency to undertake a broad range of administrative & marketing duties to ensure the effective and efficient operation of our Beachfront Accommodation based at Dundee Beach. Aim to achieve best possible outcomes in terms of standards, safety, customer service, control of costs and productivity. Time management, attention to detail and a vested interest in the welfare of Skippers at Dundee Pty Ltd is expected and integral to bring a positive, can-do attitude to your role.
Responsibilities
* Use and manage booking program for guest reservations and take payments in line with our terms and conditions.
* Manage bookings for guests and liaise customers to take payment.
* Communicate with customers to provide excellent customer service and to ensure a smooth, easy, hassle-free booking.
* Promptly take deposits/ full payments through booking.com by accessing credit card details.
* Update online booking platforms (e.g. Checkfront, Air BnB, Booking.com, Expedia, Agoda ATDW etc.) to load information into these systems to ensure accuracy online and in correspondence with guests.
* Upload new products (e.g. tours) to the Tourism Top End booking platform.
* Manage and create content for Social Media accounts and use Facebook and Instagram to market Skippers, build customer base and convert to sales.
* Attend to transport itineraries, book venues, flights, accommodation, training and services.
* Post to social media accounts with management's final approval and use Facebook and Instagram to market Skippers, build customer base and convert to sales.
* Build database of guests and their reviews to build repeat business.
* Create visually appealing, professional Skippers' packages/ vouchers etc. with pricing for Skippers to send following customer enquiry.
* Compile professional, contemporary emails to advertise and promote Skippers and to send to guests.
* Edit photos to use for marketing purposes.
* Post to Google My Business for both businesses at least every month to improve Search Engine Optimisation.
* Periodically save all written material for marketing e.g. website information, guest reviews, photos, blogs etc.
* Develop marketing strategies using digital platforms to convert sales and increase bookings.
* Arrange IT support when required and facilitate operation of computer equipment within admin.
* Attend to registration, safety certificates and service requirements of company vehicles, machinery, equipment and trailers.
* Organise credits and reconcile to invoices. Submit invoices for authorisation and track progress to ensure timely payment.
* Manage licence applications as needed (e.g. Skippers' Commercial Tour Operator) and ensure existing licences are renewed and the businesses are meeting all requirements for same.
* Undertake and adhere to filing system both hard copy and electronically to keep efficient, tidy, updated and accurate.
* Instigate archiving and that obsolete documents are destroyed annually after EOFY in line with filing system.
* Maintain tidy, well presented desk and office spaces.
* Record meeting notes and distribute to relevant staff.
* Provide reception support and executive assistance to Managing Director as and when needed.
* Actively manage time and resources and assist office personnel wherever possible.
