Job Description



The Client Services team includes; Client Management, Project Management, and Partnerships. The team represents the face of Jellyfish and is the last control for excellence in our services and delivery. The Client Services team showcases exceptional customer service, industry expertise, and a genuine passion for delivering world class solutions to our clients.



Role Overview

Reporting to the Managing Director you will act as a central supporting pillar to our whole Client Services team. Ensuring that key administrative tasks are completed with accuracy, efficiency and in a timely manner to support our clients and all Client Services activities. This role looks after a dedicated hub and holds extensive knowledge of all project, financial, and contractual information across all accounts within their grouping.

Responsibilities

* Maintain accurate and up-to-date client data in Salesforce to support reliable reporting.
* Accurately reports on revenue milestones for active projects.
* Reconciles advertising activity for end of month invoicing support.
* Generates monthly utilisation reports and email newsletters for clients.
* Maintains external and internal mailing lists and monitors survey responses.
* Effectively and efficiently responds to any invoicing requests or enquiries from clients by liaising with our finance team.
* Generates contracts as required for the Client Management team.
* Supports ad hoc requirements where document management is required
* Ad hoc auditing of client financial accounts to validate accuracy.
* Maintain IT and general office supplies as needed across Melbourne and Sydney offices.

* Proven experience as an administrative assistant or similar role.
* Google Suite (Slides, Docs, Sheets)
* 1+ years of experience in a CRM tool like Salesforce, or similar.
* Ability to reconcile data for invoicing, generate utilisation reports, and understand basic financial terms and documentation.
* Experience generating and managing contracts or legal documentation.
* Demonstrated ability to identify and resolve administrative issues efficiently .
* Experience handling enquiries and liaising between internal teams (e.g., finance) and external clients.
* Experience managing multiple administrative and reporting tasks to meet deadlines.

* Commitment to Excellence: Demonstrates Experience maintaining an organized and up-to-date pipeline of opportunities by producing high-quality work that consistently meets or exceeds expectations, setting a standard of excellence for the team.
* CRM & Data Management: Experience managing client data in Salesforce or similar systems, ensuring accuracy and integrity.
* Financial Acumen: Experience managing financial reports and a general understanding of basic financial terminology.
