The Executive Assistant provides high-calibre administrative, secretarial, and executive support to the Deputy Dean and Faculty Executive Director and, as required, to the Dean. This pivotal role demands discretion, independent judgement, and professionalism, with regular engagement with both internal and external stakeholders. The incumbent will manage multiple concurrent tasks with exceptional organisational, prioritisation, and time management skills, while cultivating and maintaining effective relationships across Academic Divisions and Chancellery portfolios to ensure timely and high-quality service delivery.
Your responsibilities will include:
- Providing high-level administrative and executive support to the Deputy Dean and Faculty Executive Director, including managing calendars, prioritising commitments, handling correspondence, and preparing reports and presentations with accuracy and discretion.
- Coordinating governance, meetings, and events, including scheduling, collating papers, arranging venues and catering, taking minutes, following up actions, and supporting travel and conference arrangements in line with University policies.
- Building and maintaining effective relationships with internal and external stakeholders, acting as a confident and professional primary point of contact, and ensuring timely and tactful resolution of enquiries and issues.
- Developing, maintaining, and continuously improving office processes and systems, including filing, databases, tracking mechanisms, and compliance with University risk management, OH&S;, and other relevant policies.

You may also:
- Hold a relevant tertiary qualification and/or demonstrating extensive professional experience and knowledge in office management or executive support.
- Apply advanced proficiency in Microsoft Office applications, including Outlook, SharePoint, Word, Excel, and PowerPoint.
- Demonst rate proven experience in managing, improving, and maintaining office systems, processes, and workflows.
- Deliver high-quality administrative support with strong prioritisation, organisational, and time-management skills to ensure tasks are completed accurately and on schedule.
