Job Description


We are seeking an experienced Administrative Support Specialist to join our team. As a key member of our support staff, you will provide exceptional client service and administrative support to our Advisers and clients.




Responsibilities



* Manage client communications and queries via phone, email, and in-person interactions.

* Coordinated client meetings and follow-ups.

* Maintain accurate client records and data within our CRM (XPlan) and other systems, ensuring adherence to regulatory requirements.

* Prepare and process client forms, implementation requests, and other documentation.

* Liaise with institutions and super funds to support operational needs.

* Assist with general office administration tasks.





Requirements



* Proven experience in administration, with the ability to prioritize tasks and meet deadlines.

* Proficiency in Microsoft Office Suite and experience with financial planning software (XPlan preferred).

* Proven problem-solving skills to support our team.

* Strong verbal and written communication skills to engage confidently with clients and product providers.

* A willingness to learn as regulations and technologies continue to evolve.

* Ability to adapt in a fast-paced environment where priorities may shift.

* Experience in a Client Services position within the Financial Planning, Accounting, or Broking industry would be highly regarded.

* Full working rights in Australia and a satisfactory National Police Check before commencing employment.
