About the Role

We have a fantastic opportunity for an enthusiastic, self‑motivated and customer‑centric individual to join our team at Apprenticeship Support Australia (ASA). If you are someone who has the natural ability to build rapport with others and want to take the next step in your career, then this may be the role for you

As the Office Coordinator (internally known as Apprenticeship Support Officer, Administration) you will be first point of contact for all visitors and members arriving at ASA's Karratha office as well as managing the day‑to‑day general administration responsibilities.

This is a full‑time, permanent position that will be based in Karratha.


Key Responsibilities

* Efficiently and professionally greet all visitors to ASA. Deliver high level customer relationship engagement that promotes the CCIWA values and service excellence.
* Management of meeting rooms calendar and provide assistance with the room set up, as required.
* Ensure the reception, breakout area, meeting rooms, storerooms and cupboards are kept in a clean and tidy state.
* Manage travel bookings for ASA via the travel portal, in line with CCIWA's Travel & Accommodation policy.
* Manage incoming and outgoing mail and other items and correspondence.
* Manage the consumables for the breakout area, PPE and first aid kits.
* Manage the issuing of temporary swipe cards and implement controls to mitigate security risks. Undertake quarterly audits of all active swipe cards.
* Log maintenance issues on the Building Management portal and respond to contractor queries.
* Provide support to the Karratha office of any Australia Post, Stationery, First Aid Kits and Consumables requirements.
* Contacting contractors to schedule maintenance, as required.
* Undertake a fortnightly stocktake of the stationery and order as required, including Australia Post express post envelopes and ASA envelopes.
* Provide the first line of support to troubleshoot AV and Airconditioning issues for staff and visitors. Escalate AV issues to the Technology team, when required.
* Provide assistance for internal ASA events and functions, as required.
* Provide administration support to the Team Leaders and Manager, as required.
* Provide administration support to the Admin team as required.
* Training Contract and Incentive processing adhering to the Federal and State Government requirements.

Apprenticeship Support Australia (ASA) is a business unit of the Chamber of Commerce and Industry WA (CCIWA) and was formed in 1998 to deliver the Australian Apprenticeship Support Network services under a contract from the Commonwealth Government. ASA's services are focused on lifting apprenticeship commencement and completion rates through the provision of support at every stage of the training cycle.
