Position Summary
The position of Administrative Assistant at Southern Cross Institute (SCI) plays a vital role in supporting the Institute's compliance and operational functions. Reporting to the Compliance & Special Projects Director (and the Dean or nominee as required), the role provides administrative support to ensure accurate maintenance of records, registers, documentation and internal processes in line with regulatory requirements. The position requires strong organisational skills, attention to detail, and the ability to work independently or in team.
Key Responsibilities
* Assist with maintaining accurate compliance records, registers, and reports for SCI in line with regulatory requirements.
* Support preparation and submission of documentation to regulatory bodies (e.g., TEQSA, CRICOS).
* Manage confidential records and ensure document retention policies are followed.
* Assist in monitoring and maintaining adherence to internal policies and procedures.
* Provide administrative support for day-to-day operations, regular audits, and review activities.
* Maintain records, manage policies and procedures, and assist with compliance requirements.
* Undertake academic-related administrative tasks, including coordinating documentation and supporting teaching and learning processes.
* Provide support in the development, preparation, and refinement of organisational documentation and related materials, with flexibility to assist on associated projects when needed.
* Perform additional tasks assigned by your manager or the Compliance & Special Projects Director/Dean.
In addition, the role requires flexibility to undertake other reasonable duties as required to meet the operational needs of the Institute.
Selection Criteria
* Minimum Bachelor's degree (or higher);
* Knowledge of the ESOS Framework and the National Code 2018. If you do not currently have knowledge of ESOS Framework and the National Code, you must be willing to acquire the required knowledge.
* Excellent communication (both verbal and written) and strong interpersonal skills;
* Proven ability to meet deadlines and work with minimum supervision;
* Well-developed time management and organisational skills;
* High levels of initiative and problem-solving skills;
* Fluency in a second language.
