We have an opportunity for a Personal Assistant to join the team at Stockland. In this role, you will organise and support the General Manager by providing high level of support in administration, communication and information/ workflow management and provide legal administration support to the General Manager and their team.
**About the Role**
- Perform information management, including collection and maintenance of files/records, correspondence and project files for easy retrieval.
- Perform diary and workflow management with a focus on diary management, travel, organisation of approvals and the provision of solid administrative secretarial support including the preparation of minutes, agendas and PCG reports.
- Provide legal administration support to the GM, SM and various team members including conducting title searches and dealing searches, property enquiries, registration of documents, drafting of documents and preparation of first draft of documents, collating of original documents and management of original documentation.
- Assist in the management of invoicing including, liaising with panel firm contacts, internal stakeholders, the legal team and accounts payable.
- Assist in maintaining appropriate systems, procedures and controls including managing records relating to Stockland subscriptions including verification of identity, good character tests, adding new users and regularly review of the accuracy of subscription details.
- Manage travel arrangements and expenses.
- Liaise with stakeholders to ensure meetings are attended, reports / presentations are prepared within the set deadlines and build strong relationships through effective communication.
**About You**
- Relevant experience in management of events and projects requiring the capability to be flexible order to meet deadlines
- Relevant experience using professional judgment and common sense along with the ability to recognise and resolve customer issues
- Experience in planning and tracking one-off administration projects/ initiatives
- Administration experience essential
- legal administration experience preferred
