About the Position

A Contract Administrator (CA) plays a critical role by managing contract agreements, coordinating project documentation, overseeing cost control, and ensuring all works comply with contractual, commercial, legal, and safety obligations. Within our company, the CA is essential in supporting our Site Managers, Architects, Project Manager, and senior leadership team to ensure that construction projects progress smoothly, align with design intent, and are delivered on time, within budget, and to the highest standard.

Reporting to: This position is reported directly to the Director.

Tasks and Responsibilities

- Manage contract agreements and project documentation.
- Oversee cost control and compliance with contractual obligations.
- Support project managers and site teams to ensure timely project delivery.
- Preparing, reviewing and negotiating construction contracts and subcontract agreements, ensuring alignment with architectural design intent.
- Managing variations, EOTs, RFIs and progress claims across residential and commercial projects in the ACT region.
- Maintaining contract registers, purchase orders and compliance documentation in line with Australian Standards and ACT regulations.
- Responding to contract-related inquiries and assisting in resolving issues raised by clients, consultants or subcontractors.
- Supporting project budgeting, cashflow forecasting, cost tracking and preparation of commercial reports.
- Verifying subcontractor invoices and progress claims, ensuring accuracy and alignment with approved scopes and contract terms.
- Assisting with procurement schedules, tender evaluations and ethical, cost-effective subcontractor and supplier selection.
- Collecting and analysing project cost data and preparing performance and commercial outcome reports.
- Preparing tender packages, scopes of work and subcontract agreements.
- Evaluating quotes, negotiating terms and coordinating subcontractor onboarding.
- Monitoring subcontractor performance, workmanship, compliance and progress, and reporting variations or non-compliance.
- Managing and updating drawings, specifications, WHS documents and revision records to ensure accurate communication with architects and designers.
- Ensuring compliance with contract conditions, Australian Standards, WHS requirements and Acrux’s sustainability and ethical operational principles.
- Coordinating permits, approvals, certifications and other documentation required for construction progress.
- Preparing submissions, tender responses and project reports for internal and client use.
- Liaising closely with Project Managers, Architects, Interior Designers, Site Managers, subcontractors, suppliers and clients to ensure smooth project delivery.
- Preparing minutes, progress updates and communication records for management and stakeholders.
- Providing contract advice to senior management and supporting implementation of key project decisions.
- Assisting with dispute resolution, clarifying contract terms and supporting project teams to ensure project goals are achieved.
- Providing document‑control and administrative coordination across projects, including reviewing or arranging office accommodation when required.

Qualifications, Education, Experience and Abilities Required

Qualifications, education requirements

- Minimum of a diploma qualification in Quantity Surveying.

Experience requirements

- Minimum 2 years relevant experience working as Contract Administrator.
- Ability to communicate and coordinate with overseas suppliers and manufacturers from China, including contract discussions and procurement logistics.
- Demonstrated capability in managing contracts, variations, project documentation, compliance, and subcontractor coordination.
- Strong knowledge of construction contracts, procurement and project documentation.
- Excellent stakeholder communication skills, including cross‑cultural and international coordination.
- High attention to detail with strong organisational and record‑keeping skills.
- Ability to manage multiple projects and competing deadlines.
- Competence in cost tracking, data analysis and commercial administration.
- Proactive, reliable, and able to work both independently and within a team.

Hours

The employee’s ordinary hours of work will be 38 hours per week, scheduled across weekdays and weekends as required, inclusive of meal and refreshment breaks in accordance with the Fair Work Act.
