As our Client Administrator & Scheduler:

Based in our Londsdale office, you are a crucial member of the team, ensuring the smooth operation of our field service team. You'll play a key role in coordinating bookings, handling client communications, and supporting our administrative and accounting needs.

This diverse role will include but is not limited to:

1. Plan, schedule & manage daily runs/job dispatch for gutter-cleaning technicians
2. Manage phone calls, quotes, emails, and bookings of high-volume jobs with customers
3. Allocating work and communicating clearly with tradespeople and customers
4. Coordinate day-to-day operations and job dispatch
5. Respond to customer inquiries and follow up on sales leads
6. Prepare and send invoices using Xero, assist with accounts reconciliation
7. Manage work orders, purchase orders, and tender submissions
8. Liaise with clients—including large contracts such as Ventia and Aged Care providers
9. Maintain contract compliance and reporting, including KPIs
10. General admin duties including data entry, email management, and filing
11. Review current processes and make suggestions for process improvements
12. Support the Business Owner and broader team as required

You will bring:

1. Proven experience in scheduling, sales support and customer service
2. Previous experience scheduling tradespeople in a trade-based environment preferred (not essential)
3. Demonstrated commitment and reliability
4. Ability to remain calm and flexible in a fast-paced, ever-changing environment
5. Experience with Xero or other accounting software preferred (not essential)
6. Experience with CRM Service M8 or similar
7. Proven ability to manage large contracts and build professional relationships
8. Excellent time management and multitasking skills
9. Exceptional communication skills, with the ability to liaise with all internal and external stakeholders
10. Current Driver's Licence & National Police Clearance
11. Familiarity with South Australian suburbs
