Property and Business Support Coordinator10 Nexus Ct, Mulgrave VIC 3170, Australia Req #5475Tuesday, 6 May 2025City FM Australia (City) provide world leading Facilities Management, Engineering and Energy solutions which ensure safe, successful and sustainable outcomes, on time and on budget for our partner - Coles.THE OPPORTUNITY:We are seeking a highly organised and commercially minded Supply Chain Property & Operations Support Officer to join our dynamic team. This pivotal role will serve as the key liaison between Coles Property Managers, the Supply Chain Facilities Management Operations team, and external landlords across our national Distribution Centre network.You will be instrumental in supporting the management team. Your proactive administrative support and ability to manage multiple stakeholders will ensure operational efficiency and alignment with strategic goals and other roles such as the following:Act as the primary contact point for Coles DC Property Managers and landlords.Prepare and submit quotations for warranty, recovery, and CAPEX-related expenditures.Maintain accurate records of open landlord recoveries and CAPEX work.Collaborate with the finance team to optimise recovery processes.Track and report key financial targets and monthly KPIs.Assist in preparing board-level presentations and operational documentation.Organise and support daily, weekly, and monthly operational meetings.Provide diary management and executive support to supply chain leadership.Skills and Qualifications required:Certificate IV, Diploma or Degree in Commerce/Business or similar – PreferredProficiency in Microsoft Office suite – EssentialExperience in facilities or commercial property management – Highly PreferredStrong organisational and multitasking skills – EssentialTechnical administration and database management – PreferredFull Australian working rightsWhat we offer:12-month fixed term role with possibility to secure permanent role.Hybrid working model (WFH 2 days a week)Free onsite parking when in office.Work within a growing FM organisation and a supportive team.If you would like the opportunity to be part of a growing Australian Facilities Management business, we would love to hear from you.Please send your updated resume to apply, only short listed will be contacted by phone.City is an Equal Opportunity Employer who supports and encourages the diverse needs of each individual Team Member.
