Receptionist
Part-time - Thursday and Friday, 8:30 am to 5:00 pm.
Salary commensurate with experience.
We welcome experienced, qualified and client-focused Receptionists to work two days per week in our purpose-designated office in Geelong.
You will be the welcoming face of our firm, supporting clients and staff by greeting visitors, preparing meeting rooms, and managing incoming calls. In addition to creating a warm and professional first impression, you will manage the flow of clients through our reception area, ensuring they are welcomed, offered refreshments, and kept informed of their appointment status. You will coordinate meeting-room bookings, maintain room presentation between appointments, and liaise with legal assistants to anticipate client needs.
On a daily basis, you will handle a high volume of calls with professionalism and confidentiality - triaging enquiries, transferring calls to the appropriate legal assistants, and taking accurate messages when required. You will also assist with incoming and outgoing mail, couriers, document handling, and basic administrative support such as scanning, filing, and preparing correspondence. As part of a busy legal practice, you will play a key role in supporting lawyers and support staff by monitoring reception inboxes, ensuring office supplies in the client-facing areas are well-stocked, and maintaining an organised and calm environment. Your ability to manage competing priorities, uphold client confidentiality, and maintain strong attention to detail will contribute to the smooth running of the firm and an exceptional client experience.
