Primary objective

Provide administrative and executive support within the Office of the Chief Executive, supporting day-to-day priorities and the coordination of the timely flow of information.

Context statement

The Department of Children and Families bring together a range of policy, advocacy and frontline service delivery functions that work together to deliver a whole of life approach to supporting children and families across the Territory. This includes children and families, child protection, prevention of domestic violence and homelessness.

Key duties and responsibilities

* Provide comprehensive administrative and executive support, including phone, email and diary management, task coordination and liaison with a wide range of internal and external stakeholders.
* Prepare, quality assure and coordinate delivery of executive correspondence, ensuring timeframes for completion are met.
* Maintain administrative systems and processes to ensure effective workflows and compliance with information management and security requirements.
* Manage financial and procurement functions including travel, purchasing, processing of credit card transactions and reconciliations.
* Provide secretariat support for working groups, committees and/or events, including agenda setting, minute taking and coordination of logistics.

Selection criteria

Essential

* Demonstrated experience in delivering high level administrative and executive support, including calendar and diary management, meeting coordination, minute taking, accounts payable, credit card management and travel bookings.
* Well-developed interpersonal and communication skills, with demonstrated experience in preparation of executive correspondence, maintaining attention to detail, building positive working relationships, and communicating with influence.
* Well-developed organisational and problem-solving skills, including strong time and priority management and the ability to work independently with limited supervision in a fast-paced environment.
* Proficiency in the use of computer systems and programs such as MS Office and electronic records management systems.
* Ability to maintain confidentiality and deal with sensitive situations with tact and diplomacy.
