Key Responsibilities
Front Desk & Patient Coordination
Greet patients warmly and manage check-ins and check-outs efficiently.
Schedule, confirm, and manage appointments using dental practice software.
Manage appointment recalls, cancellations, and rescheduling to maintain optimal booking efficiency.
Handle incoming calls, emails, and messages promptly and professionally.
Ensure all patient details, treatment notes, and correspondence are accurate and up to date in the system.
Liaise with patients regarding treatment plans, cost estimates, and payment options.
Financial & Payment Handling
Take and process patient payments via EFTPOS, HICAPS, and cash.
Manage health fund claims and gap payments through HICAPS.
Generate and issue receipts, invoices, and end-of-day reports.
Monitor and follow up on outstanding accounts and manage debt collection procedures in line with clinic policy.
Assist in preparing superannuation release applications and supporting documents for eligible patients.
Reconcile daily transactions, ensuring all payments match with practice software and bank settlements.
Insurance, Medicare & DVA Claims
Submit and manage Medicare and Department of Veterans' Affairs (DVA) claims accurately and in a timely manner.
Track claim rejections and resubmissions to ensure successful payments.
Communicate with third-party providers and government agencies regarding patient claim queries or documentation requirements.
Laboratory & Clinical Coordination
Coordinate with dental laboratories for sending and receiving lab work such as crowns, bridges, dentures, and aligners.
Maintain clear lab records with tracking of dispatch and return dates.
Communicate with clinicians regarding lab cases, due dates, and patient readiness.
Ensure all lab items are stored, labelled, and delivered efficiently.
Patient Follow-ups & Administrative Support
Conduct follow-up calls for post-treatment care, outstanding treatment plans, and recall appointments.
Maintain patient recall systems and contact lists to ensure continuity of care.
Manage correspondence between patients, specialists, and external providers.
Assist with report preparation, scanning, and filing of documents.
Keep on top of all ongoing patient jobs, ensuring treatments are progressing according to schedule and patients are kept informed.
Skills & Attributes
Excellent communication and interpersonal skills.
Strong attention to detail and ability to multitask in a busy environment.
Sound knowledge of Dental4Windows or Dental4Web (or similar dental software).
Understanding of dental terminology and treatment item numbers (advantageous).
Experience with HICAPS, Medicare, DVA, and superannuation claim processes.
Professional presentation and a caring, patient-focused attitude.
Ability to work autonomously and as part of a small team.
