Queensland Nitrates Pty Ltd (QNP) operates a large chemical manufacturing facility in Central Queensland, producing explosive-grade ammonium nitrate. QNP is a 50:50 joint venture between Wesfarmers and Dyno Nobel.

About the Role

We are seeking a reliable and highly organised Business Support Officer to provide administrative and site support across our operations and ensure the efficient day-to-day operation of the site. The role is responsible for managing reception services, coordinating site access, supporting travel and events, maintaining office amenities, and assisting with compliance and commercial activities.

This role is ideal for a reliable administrator who enjoys variety, works well in a team environment, and takes pride in supporting a busy industrial site. You will work closely with multiple departments and be a key point of contact for visitors, employees, and contractors.

The role is based on-site near Moura and applicants must reside within a 100-km radius.

Key Responsibilities

1. Reception, Visitor Management, and Site Access

2. Provide professional reception assistance to visitors, contractors, and staff.

3. Manage the main phone line and direct enquiries appropriately.
4. Monitor and manage Reception email inboxes and action requests as required.
5. Maintain the visitors calendar, including confirmation of arrivals and ensuring appropriate inductions are completed.
6. Control main gate access and coordinate visitor entry to site.
7. Issue, maintain, and manage Site Access cards for new starters, contractors, and truck drivers.

2. Administrative and Office Support

* Log and distribute daily incoming and outgoing mail.
* Prepare and assist with sales morning paperwork as required.
* Provide general administrative support across departments as needed.

3. Facilities, Amenities, and Supplies Management

* Clean and maintain two on-site coffee machines daily.
* Order, monitor, and maintain stock levels for milk, fruit, tea, coffee, biscuits, and related amenities.
* Maintain the stationery cupboard, including ordering new supplies as required.

4. Travel, Events, and Catering Coordination

* Coordinate staff and contractor travel, including liaising with travel agents and raising necessary purchase orders.
* Organise catering for training days, board meetings, and other business-related functions.
* Coordinate and organise site BBQs and other staff events as required.
* Plan, organise, and manage the annual Christmas Party and Christmas gift orders.

5. Training, Compliance, and HSEQ Support

* Send training invitations and maintain training schedules in line with HSEQ requirements.
* Assist with maintaining the employee, contractor and vendor compliance and competency databases.
* Monitor the contractor approval pending list and follow up on outstanding actions.
* Support workplace inspections and ensure documentation is completed and filed appropriately.

6. Finance and Commercial Support

* Process donations and sponsorship requests in line with company procedures.
* Provide backup support to Accounts Payable including coordinating invoice approvals and reviews, maintaining accounts payable documentation, and assistance with remittance paperwork.
* Provide backup support to Payroll and the Sales & Logistics Coordinator as required, including daily sales data entry and ongoing database maintenance
* Provide other administrative support to the commercial team as required.

* Ensuring compliance with QNP's safety requirements, values, and Integrated Management System

About You

To be successful in this role, you will be a dependable, approachable, and professional administrator with the ability to organise work efficiently and a customer-focused mindset.

* Professional written and verbal communication skills

* Strong computer literacy, including proficiency in Word and Excel

Previous experience in administration, reception or site support roles is desirable.
