We are entering an important phase of growth and reform, and the Governance & Executive Support Officer will support the Board and CEO, strengthening executive support and governance across the organisation.

About the Role

As Governance & Executive Support Coordinator you will play a pivotal role at the centre of the organisation, providing high‐level strategic, governance and operational support to the Chief Executive Officer and Trustees. You will be responsible for coordinating Board and committee processes, strengthening governance frameworks, and ensuring compliance with corporate obligations. Working closely with the CEO and executive team, the role manages complex information flows, supports the development and maintenance of policies and procedures, and drives the effectiveness of governance systems to enable strong, informed leadership and decision‐making across the organisation. This is a permanent part‐time position (three days per week).

Key Responsibilities

* Coordinate Board and committee meetings, including scheduling, agendas and papers.
* Prepare, review and finalise accurate minutes and ensure timely distribution.
* Support the CEO and Executive Team with Board reports, briefings and presentations.
* Maintain governance tools including work plans, decision registers, action lists and compliance calendars.
* Manage Board member engagement, induction processes and records.
* Ensure governance documents are well organised, version controlled and accessible.
* Support the CEO by monitoring priorities, deadlines and key commitments.
* Prepare high‐quality written materials including reports, briefing notes and communications.
* Act as a key liaison between the CEO, Board, staff and external stakeholders with professionalism and discretion.
* Coordinate the development, review and implementation of corporate policies and governance frameworks.
* Maintain key governance registers (e.g. conflicts, delegations, policies, risk) and support compliance obligations.
* Contribute to continuous improvement by strengthening governance systems, processes and organisational workflows.

Qualifications, Experience & Knowledge

* Demonstrated experience providing high‐level support to senior executives, Boards, or governance bodies.
* Strong understanding of governance principles, particularly within not‐for‐profit, public sector, or community environments.
* Excellent written communication skills, including minute taking, report writing and document preparation.
* Highly developed organisational and time management skills, with the ability to manage competing priorities.
* Proven ability to exercise discretion, maintain confidentiality and apply sound judgement.
* Strong interpersonal skills with the ability to build effective relationships across all levels.
* Relevant qualifications in governance, business or public administration, along with proficiency in Microsoft Office, SharePoint and document management systems.
