The ideal candidate will possess exceptional organisational skills, with the ability to multitask and prioritise tasks effectively. Strong attention to detail and a proactive approach to problem-solving are essential for this role.
Key Responsibilities:
1. Coordinate and oversee administrative support for meetings, scheduling, agendas, notetaking, minutes, records and internal communications
2. Assist with resident admission and discharge procedures and maintain accurate records and systems
3. Re-design and develop systems for resident dietary care
4. Provide support for policy management by organising, maintaining and updating as appropriate
5. Review, maintain and update the asset register
6. Support maintenance for Legacy on Victoria
7. Be the first point of call for new starters
8. Help deliver memorable employee experiences – from onboarding to celebrations
9. Support internal communications, newsletters, and staff events
10. Manage new hire onboarding materials, induction, access cards, uniforms and HR tools
11. Keep employee records, HR systems, and documentation accurate and up-to-date
12. Review and update HR documents, technical and training manuals
13. Coordinate job posting, interview bookings, reference checks and candidate tracking
14. Assist with recruitment administration
15. Assist with meeting schedules, internal communications and other duties as required by the Director of Nursing
16. Assist with audits, reports, compliance and file management
17. Assist with ad-hoc tasks and fostering a collaborative work culture
