Part‑Time Admin Support – Your Role in Shaping Our Future

Your Day‑to‑Day

From travel coordination to schedule management, email triage to handling mail and filing, and assisting with onboarding, you'll have exposure to Finance, Ops, Project Management, and Estimating — and play a key part in keeping the business operating smoothly.

A snippet of what a week could look like:

Travel Coordination: You'll manage travel bookings for our teams, utilising Qantas Business and Virgin Business accounts. As our work often takes our team to remote areas outside typical hotel availability, you'll need to think outside the box—Airbnb for Business bookings will be a key consideration. You'll need to interpret our schedules, book accordingly, and proactively manage any disruptions like flight cancellations, ensuring seamless travel arrangements.

Onboarding Support: You'll ensure that all new hire contracts and stringent onboarding documents are fully completed, returned, and properly executed before their start date using our custom ERP and DocuSign. Additionally, you'll verify that all required paperwork is filled out correctly, and all employee tickets and qualifications are uploaded into our custom ERP.

Handling Mail & Filing: You'll be responsible for managing incoming and outgoing mail (snail & email), scanning, and filing sensitive and important documents to keep our records organised and up to date. You'll also help maintain company records in our ERP — including employee information, supplier details and asset registers.

Financial Administration: You'll report directly to the Business & Finance Manager, so a background in finance admin will be highly regarded. While most finance tasks are handled, you'll need to be able to jump in and cover when required. This includes producing credit card reconciliation packs by reviewing transactions and chasing missing tax invoices, triaging transactions from the Directors, matching purchase orders to invoices, entering accounts payable, and preparing documentation for review and processing. You'll support accounts receivable for our smaller entity by entering weekly invoices and emailing clients. You'll also assist in following up suppliers, customers and staff for documentation when needed.

Directors' & Manager Support: Assisting both hands‑on Directors as well as providing additional support to the Business & Finance Manager. This may include ad‑hoc tasks, calendar management, meeting coordination and special projects. You'll often be the friendly first point of contact — helping the right information get to the right place quickly.

Professional Growth: This part‑time role (3 days per week) has the potential to expand as you grow with us. Our ideal work hours are 7:30 am to 3:30 pm Tuesday, Wednesday and Thursday, but we are open to working around the right candidate's schedule.
