Reports To: Clinical and Operations Manager and CEO Director
Location: Springwood, with Community travel required
Employment Type: Part Time (4 days/week with possibility to extend to 5 days in future)
Position Overview
The Client Services Coordinator is responsible for providing high-level administrative support, client intake coordination, rostering, and data management. The role ensures accurate, timely, efficient and effective service delivery, maintaining high standards of client care.
Provide supervision and leadership within the organisation to support services team to the relevant team based in Springwood QLD.
Key Responsibilities
Client engagement and Intake:
 * Respond to client inquiries via phone, email, and in-person promptly and professionally.
 * Participate in conducting initial client intake, including needs assessment and data collection.
 * Maintain accurate and up-to-date client records in the database.
Rostering and Scheduling:
 * Develop and manage staff rosters to ensure adequate coverage for all client services.
 * Coordinate with staff to accommodate availability and client needs.
 * Monitor and adjust schedules as necessary to address any changes or emergencies.
Administrative Support:
 * Perform general administrative tasks including filing, data entry, and document management.
 * Prepare reports and correspondence as required.
 * Assist in the development and implementation of office procedures and policies.
Data Management:
 * Ensure accurate and timely entry of data into client management systems.
 * Generate reports and provide data analysis to support service delivery.
 * Maintain confidentiality and security of client and organizational information.
Team Coordination:
 * Support staff in understanding and fulfilling their roles and responsibilities.
 * Provide training and guidance to new staff members on administrative procedures and client management systems.
 * Act as a point of contact for staff queries related to rostering and client services.
Quality Assurance:
 * Participate in quality assurance and improvement activities.
 * Ensure compliance with organizational policies, procedures, and regulatory requirements.
 * Assist in the evaluation of service delivery to identify areas for improvement.
Key Selection Criteria
Mandatory requirements
 * Current Bluecard and NDIS worker clearance or ability to obtain.
 * Current Open Australian Drivers license.
 * Full working rights in Australia
Qualifications and Experience:-
Relevant qualifications and experience in social or human services, health and social community services. Minimum Cert IV. A combination of more than one is highly desirable.
 * Proficiency in using client management systems and office software.

Award and Conditions
This position is classified under Level 3.1 of the SCHADS Award, which includes entitlements such as minimum wage rates, allowances, leave, and other employment conditions as prescribed by the Award.
