What You'll Be Doing
As the Executive Assistant, you will provide high-level, proactive, and professional executive support to the Director Allied Health (DAH) and Director Older Persons and Adult Community (DOPAC).
You will ensure the smooth, efficient and timely operation of the office and contribute to service improvement across the Mental Health Service.
In This Role, You Will
Deliver advanced executive and secretarial support, including diary, travel, event coordination, and preparation of complex documentation
Coordinate ministerials, briefing notes, complaints and sensitive correspondence with accuracy and timely follow-up
Analyse and prioritise communications, monitor deadlines, and manage workflows to support informed decision-making
Provide secretariat support including agendas, minutes, meeting coordination and governance documentation
Contribute to projects, events, workshops and digital content management, including SharePoint publishing for Allied Health and OPAC

License: Unrestricted NSW Drivers License
Selection Criteria
Demonstrated experience in providing high-level executive support, including efficient diary management, preparation of executive documents, and support for complex scheduling and meetings.
Proven organisational skills with a strong ability to prioritise tasks, resolve problems, manage competing demands, and consistently meet strict deadlines in a dynamic environment.
Advanced written and verbal communication skills, with attention to detail and the ability to prepare high-quality correspondence, briefs, and reports for diverse audiences.
High-level proficiency in business writing, including experience drafting responses to Ministerials, complaints, and sensitive briefs, ensuring accuracy and professionalism.
Demonstrated expertise in Microsoft 365 applications (Outlook, Word, Excel, PowerPoint, Teams) and electronic records management systems such as HPECM, with an ability to rapidly learn new software and digital tools.
Proven capacity to exercise sound judgement, discretion, and confidentiality when managing sensitive information, and to adapt quickly in changing, high-pressure situations.
Ability to work both independently and collaboratively within multidisciplinary teams, proactively follow established processes, and contribute to continuous quality improvement.
Unrestricted NSW driver's licence and demonstrated willingness to travel across multiple sites as required to support operational needs.
