Office Administrator + Sales Support | Food Distribution | Prestons
Viking Imports is a family owned specialty food importer, distributor and 3PL solutions provider. We supply premium products to Australia's leading independent retailers, health food stores, specialty deli's and major supermarket chains. Some of our best sellers are frozen wild blueberries, organic goat feta and Swedish crispbreads Having been in operation for over 30 years, the next family generation are looking to substantially ramp the business up with your help in boosting our sales administration.
The Role
This all-rounder admin role will focus on supporting our on-road sales reps and warehouse administration. You will work in our new offices in Prestons and be responsible for a wide variety of admin, customer support via phone and email, and sales processing.
Overall your responsibilities include:
Sales Support: Processing sales orders and liaising with drivers to ensure prompt stock delivery
Relationship Management: Maintaining and developing strong customer relationships, complaint resolution and helping our customers feel valued and understood
General Administration: Data entry, purchase management, scanning, debt collection support and accounts receivable support
Logistics & Stock Management: Managing stock in VIC and QLD warehouses, end of month invoicing, reconciliation and making stock adjustments.
Sales Administration : Sales follow ups, managing customers in our CRM, Opmetrix, new customer search and taking orders
Customer Service: Supporting our customers with general enquiries, pricing and invoices via phone and email
Reporting: Prepping for weekly and monthly sales meetings
Continuous Improvement: Offering ideas of better ways to do things and promptly implementing adjustments
What you bring to the table
You have common sense, a high attention to detail and thrive on improving processes.
Additionally, you will bring:
Warehouse admin or sales support experience, ideally in the food industry
Strong administration experience and Microsoft (Excel, Outlook, PowerPoint) skills
Strong and friendly phone and email-based communication
A down to earth, friendly, easy to get along with approach
General accounting knowledge
Proficiency in the use of CRM and Warehouse Management Systems
Process driven with a high level of organisation
Creative thinking and excellent attention to detail
A love of food

Hours: 8:00 AM - 4:00 PM-ish or 7:00AM – 3:00PM-ish, Monday to Friday
