Role: Bid Coordinator
Location: Melbourne, Victoria
Join our dynamic Customer & Pursuits team as a Bid Coordinator and play a key role in crafting compelling, winning proposals. Your creativity and eye for detail will help turn complex information into engaging client content that stands out. We are seeking a self-motivated individual who enjoys working in a fast-paced environment, where you are encouraged to use your experience, problem solving skills and creativity.
This role requires strong coordination skills, attention to detail, and the ability to manage multiple priorities supporting a dynamic team. This is your chance to drive impactful bid deliverables, contribute to a culture of innovation, and grow through continuous learning in our South Melbourne office.
Responsibilities
* Coordinate and assist with the end-to-end development of submissions, proposals, and presentations, ensuring alignment with brand guidelines and high-quality standards.
* Liaise with internal stakeholders to request, manage, and collate content, and project information.
* Format and proofread documents to ensure accuracy and consistency, including grammar and spelling.
* Maintain and update the content library, including templates, assets, imagery, and business toolkits.
* Assist with market research and gathering of insights to support reporting and thought leadership efforts.
* Support the implementation of brand guidelines across corporate and submission outputs.
* Manage competing priorities effectively and ensure timely delivery of all bid materials.
* Collaborate with service streams to improve and innovate business development content and processes.
* Support new business initiatives, including CRM database maintenance, reporting, and general administration.
* Provide general administrative and operational support to the Customer & Pursuits team as needed.
Skills, Experience And Qualifications
* Exposure to business development/ tender / proposal development practices and the customer engagement journey
* 1–3 years’ experience in bids, tenders, sales or professional services solution delivery
* Excellent written and verbal communication skills
* Strong organisational and time management skills
* Experience in supporting proposal/tender development and content for solutions tailored around complex client needs
* Tertiary qualification or equivalent experience in Business, Marketing, or Graphic Design
* Proficiency in PowerPoint, intermediate skills in Microsoft Office Suite and SharePoint
* Highly motivated and eager to learn
Desirable
* Experience with Salesforce or other CRM platforms
* Graphic design and Adobe Creative Cloud experience highly regarded
* Prior exposure to sales environments or professional service firms is an advantage
