Offer description

We are seeking a focused and enthusiastic person who is organised, can manage their time effectively, has excellent communications skills and presentation to fill our receptionist / administrative support position. Although not essential, the role would be ideal for someone with strata or property management experience.

Previous experience would be advantageous. Minimum 12 months' experience in an administrative or reception role required. Property management or strata experience preferred but not essential.

Responsibilities

- Answering telephones; managing inquiries and distributing calls
- Taking accurate messages and relaying them promptly
- Keeping and updating a daily phone log
- Maintaining meeting room register and setting meeting rooms
- Maintaining both physical and electronic files
- Ability to handle phone calls in a professional manner
- Ability to multitask, prioritise work and meet deadlines
- Attending to the daily mail
- Preparation & Production of office correspondence
- Issuing and arranging keys for collection by contractors and clients
- Being the primary point of contact for our clients, management of email accounts, and taking charge of a number of administrative duties
- General administrative duties, including typing letters, printing labels, creating files, emails, scans, posting notices and maintaining supply inventory
- Reception/Front of House Duties - daily mail, presentation of office/meeting rooms, arranging office supplies, stationery orders etc.
- Light cleaning
- General office errands, including mail delivery to satellite office, post office trips and pick-up/delivery to various vendors
- Electronic filing of owners corporation documents using proprietary software

Qualifications

- High School Certificate or equivalent
- Certificate of Registration (Strata) to be completed within 3 months of starting (training provided)
- Current driver's licence preferred for office errands
- Must have legal right to work in Australia
- Knowledge of and experience using Strata Master and File Smart or Strata Connect useful but not essential

Essential skills and experience

- Excellent verbal and written communication skills
- Strong computer literacy including Microsoft Office Suite
- Intermediate proficiency in Microsoft Office Suite (Word, Excel, Outlook) with ability to create documents, spreadsheets and manage email systems
- Professional phone manner and customer service experience
- Minimum 12 months customer service experience, preferably in professional office environment or property services
- Ability to multitask and prioritise workload effectively
- High attention to detail and accuracy
- Technical requirements:
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Comfortable learning new software systems
- Knowledge of Strata Master, File Smart or Strata Connect advantageous but full training provided
