About the role
NSW Ports is seeking an Administration & Office Support Assistant for a newly created role supporting the executive team and HR by delivering essential administrative and office coordination support across the business. This role would suit someone who is highly organised, enjoys providing support, and takes pride in helping things run smoothly, with scope for the position to grow over time.

Responsibilities

• Providing general office administration, including organising files and drafting correspondence

• Coordinating meetings and conference calls, including room bookings, set-up, and catering

• Acting as a professional first point of contact for visitors and clients

• Preparing documentation packs and materials for leadership meetings

• Processing invoices and maintaining accurate administrative records

• Providing reception cover and supporting the Executive Assistant as required

• Assisting with ad hoc administration tasks, including travel and accommodation bookings and event preparation and delivery

• This role requires physical presence in the office and cannot be performed remotely

About you
You will bring:

• Strong written and verbal communication skills

• Excellent organisation and time-management abilities

• A positive, can-do attitude with strong initiative

• Confidence working with senior stakeholders and external visitors

• Advanced Microsoft Office skills (Word, Excel, PowerPoint)

• Working knowledge of Power BI and AI tools such as Copilot
