Job Summary:
In this role, you will provide document management support by using ECMS (Enterprise Content Management Systems), distributing, maintaining, and retrieving project records in accordance with company guidelines. You will assist with customer service, questions, issues, updates, quality checks, and project closeout activities. Your attention to detail and data accuracy will help ensure successful compliance with document and records management procedures.
Major Responsibilities:
* Serves as a member of the document management support group to support Enterprise Content Management Systems (ECMS) such as Aconex and InfoWorks and archival/retention management systems such as DocFinity, and other associated tools
* Assists in determining requirements/expectations for integrations, and with preparing a plan to provide ongoing support
* Uses standard Enterprise Content Management System (ECMS), archival/retention management systems, and/or SaaS applications to register, control, distribute, transmit and archive project records
* Interacts with end users to support, troubleshoot, and resolve issues
* Resolves access issues due to SSO or other authentication tools/processes
* May handle API requirements, manages token generation/token refresh activities required for integration data extraction to/from ECMS and archival/retention management systems using APIs, and updates SQL database
* Assists with managing service accounts in CyberArk knowledge of tools (Microsoft PowerBI, Excel, Access, etc.)
* Monitors and ensures timely closure of support tasks/incidents
* Supports migration and/or upgrade events and may assist in validation processes
* May assist with implementing records retention and turnover plans
* May provide training on work processes and tools
* May interact with vendors and suppliers
* Supports triage and root cause analysis exercises when required
Education and Experience Requirements:
* Typically requires bachelor's degree (or international equivalent) and 5-8 years of relevant experience or 9-12 years of relevant work experience
* Must be able to demonstrate excellent written and verbal communication skills including grammar, spelling, punctuation, and proper use of syntax.
* Must have a minimum of five years' experience in document control preferably with Aconex. Experience must have been obtained within recent years.
* Must be able to demonstrate intermediate to advanced proficiency using web-based file transfer applications, such as SharePoint Online or OneDrive.
* Must be able to demonstrate basic to intermediate proficiency using standard office automation and reporting tools, including Microsoft Excel, Outlook, Word and Power BI. Skills assessments to determine proficiency level may be administered.
Required Knowledge and Skills:
* Enterprise Content Management Systems Expertise – Proficiency in tools like Aconex, InfoWorks, DocFinity, and related SaaS applications.
* Technical Integration and API Knowledge – Ability to manage API requirements, token generation, and SQL database updates.
* Troubleshooting and User Support – Strong skills in resolving access issues, SSO authentication problems, and providing end-user assistance.
* Data Analysis and Reporting Tools – Familiarity with Microsoft Power BI, Excel, and Access for monitoring and reporting tasks.
* Records Management and Compliance – Understanding of archival, retention, migration, and upgrade processes, including validation and turnover plans.
