Primary objective
Contribute to the successful operation of governance services through the application of administrative and secretariat support services across
projects and programs managed by the Digital Project Services division.
Context statement
Digital Project Services (DPS) delivers complex, high value, and high-risk digital programs and multi-year digital transformation initiatives
for core frontline services through an inter-agency collaborative approach. Working closely with the client Agencies, the team comprises
of public sector employees and contractors working together to deliver multiple streams of activity as programs are implemented. The
work environment is dynamic, fast paced and results driven with high expectations of superior service delivery.
Key duties and responsibilities
1. Provide high level administrative support for governance services across digital projects.
1. Provide end to end project and secretariat support to committees and working groups, including stakeholder engagement to inform
paper preparation and progress actions and decisions,
1. Supported by the Senior Program Governance Officer, contribute and support the development, implementation and maintenance of
governance related frameworks, plans and procedures as required.
1. Build positive relationships with project stakeholders to foster a collaborative and best-practice approach to governance plans and
processes.
1. Work collaboratively with the broader Project Services and Business Support teams to ensure alignment with other activities across
the Division, actively participating as a member of the DPS support unit through contributing innovative ideas and solutions.
Selection criteria
Essential
1. Proven administration experience, particularly delivering high quality project support and governance.
1. Strong organisational and communication skills with the ability to engage and coordinate tasks with multiple stakeholders as well as
maintain accurate documentation.
1. Proven experience in and knowledge of records management and record management systems such as TRM or similar.
2. Demonstrated experience preparing and maintaining documentation including meeting records, agendas, and related briefing papers
for inclusion in committee meeting packs.
5. Well-developed time management skills with proven ability to work under pressure, prioritise and meet deadlines.
6. Experience managing and maintaining registers/databases using software packages such as MS Office Suite, with the ability to quickly
acquire skills in JIRA, Confluence and SharePoint software tools.

Desirable
1. Formal qualifications in Governance or a relevant field such as Business Administration or Project Management.
