Role Overview
We are seeking a highly skilled and proactive Executive Assistant to provide exceptional administrative and executive support to the Executive Director in a dynamic and fast-paced environment.
Division Overview
The Enterprise Governance and Partnerships Division drives high performance at a system level by providing senior leaders with visibility and assurance of system performance and improvement initiatives and confidence in the management of key external partnerships.
Ensure strategic responses and projects are delivered within expectations underpinned by quality project and program management methodologies.
Improve oversight of high-level strategic priorities and projects through increased visibility and quality assurance.
Align governance standards to the strategic significance and complexity of initiatives.
Support evidence-based decision making through effective use of intelligence and data.
Develop and maintain effective partnerships to support strategic alignment and positive relationships both within and external to the Department, including with higher and international education stakeholders.
Key Responsibilities
* Coordinate formal correspondence, briefing notes, and Ministerial responses.
* Apply sound financial management practices and oversee the Executive Director's budget, including payments, corporate card reconciliations, and travel expenditure.
* Schedule appointments, handle enquiries, and coordinate & track correspondence.
* Maintain data sets for reporting and manage travel and accommodation arrangements.
* Liaise with senior staff across the department and other agencies, including the Minister's Office.
Required Experience & Skills
* Experience with HP TRIM or similar records management software.
* Proficiency in Microsoft 365 suite, including Teams.
* Excellent interpersonal and communication skills.
* Strong organizational skills, attention to detail, and ability to remain agile under competing deadlines.

The remaining criteria (4 and 5) will be assessed at the interview.
