About the Role
Provide administrative support to the General Manager Motor Claims Operations and the broader Motor Claims team, by establishing and managing a smooth and efficient operating rhythm and assisting the Motor Claims department with travel bookings, events, expenses and communication.
(Maternity Leave Cover (9 month contract))
Position Accountabilities
* Provide administrative support to the GM Motor Claims Operations and the Motor Claims Operations Senior Leadership team as required.
* Calendar management for department GMs and assist other senior leaders as required with meetings and appropriate room bookings.
* Monitor GM Motor Claims Operations emails using judgement to escalate urgent matters and filter out unnecessary clutter as per GM preferences
* Event planning including but not limited to Team R&R, site engagement activities and awards events across North Lakes and Kawana
* Arranging travel for the Motor Claims Operations leadership team as required
* Scheduling team meetings with minute and action taking as required.
* Liaise with the Motor Claims leadership team to ensure performance coaching, mandatory training, ESS compliance, Engagement surveys and other measured activities are completed by employees within the required timeframes.
* Managing department Moral and Travel (incl KM) spend, reconciling GM and other senior leader credit card statements monthly.
* Leave cover Personal Assistant to Associate Director and other Motor PA's as required.
* Full adherence to confidentiality guidelines
What experience you'll bring;
* Proven diary management and organisational skills
* Minimum 2 years Administrative or Assistant experience.

* Intermediate proficiency in email and internet capabilities
* Excellent written, interpersonal and verbal communications skills
* Intermediate to Advanced level in Microsoft Excel, Microsoft Word, PowerPoint packages and Google Docs.
* Ability to demonstrate attention to detail at all levels including proof reading ensuring data accuracy
* Corporate presentations/small event management experience
* Demonstrated capacity for self-management, participative decision-making, team participation and the ability to accept promote and self-manage change
