The role
Kogan People Solutions, specialist recruiters, are partnering with a successful medical centre in Glen Huntly Vic as they seek their new Office Manager. The Office Manager will ensure the smooth running of administrative operations while supporting clinical staff and maintaining compliance with healthcare standards.
Location: Glen Huntly Vic
Salary: Negotiable in the range $75‐80k per annum plus superannuation
Tenure: Full time and ongoing
ResponsibilitiesAdministrative Oversight
- Manage patient records and ensure confidentiality
- Oversee appointment scheduling and reception duties
- Maintain office supplies and medical inventory
Staff Coordination
- Supervise administrative staff
- Allocate tasks and monitor performance
- Coordinate training and onboarding
Financial & Compliance Management
- Monitor budgets, billing, and payroll
- Ensure compliance with healthcare (e.g., Medicare, NDIS) regulations and privacy laws
- Liaison with external providers (e.g., insurers, suppliers)
Facility & Workflow Management
- Implement and review office policies and procedures
- Ensure equipment and facilities are maintained
- Support doctors and nurses with operational needs
Qualifications
- AQF Diploma or higher in Business Administration, Management, or a related field, or agreed substitute
- Minimum 1 or more years of highly relevant employment, ideally in a healthcare or office management setting
- Proven ability to manage staff and coordinate administrative functions
- Strong organisational and time‐management abilities
- Knowledge of medical terminology and healthcare systems
- Proficiency in office software and electronic health records
- Excellent communication and customer service skills
- Understanding of occupational health and safety regulations
- Ability to handle sensitive patient data with discretion
