Purpose of the role

As an Administration and Quality Assurance Assistant, your primary focus is to ensure Freshgro's financial data management, payroll requirements and quality standards are performed in a professional, accurate and timely manner.

Ensure the accurate and timely reporting of Freshgro's key performance indicators

Ensure the accurate and timely reporting of Freshgro's produce record-keeping

Measures

- Accurate and timely reporting of Freshgro's key performance indicators

- Employees' wages, superannuation and PAYG requirements are paid accurately and on time

- Freshgro's produce record keeping is accurate and timely manner.

- Basic admin and office duties, supporting the company Director.

Main duties and responsibilities

Ensure the accurate and timely reporting of Freshgro's key performance indicators

- Liaise with the General Manager to identify Freshgro's key performance indicators (KPIs)

- Identify how the KPIs are to be tracked

- Collect and analyse the data to evaluate KPIs

- Ensure the data is reported accurately to the General Manager

- Hiring, Advertising, updating Employment Hero, and administering Employment Contracts.

Ensure the accurate and timely preparation and reporting of Freshgro's financial performance and payroll activity

- Download information from Xero and enter it into Freshgro's budget tracker for weekly reporting, presented every Friday to Management

Ensure the accurate and timely reporting of Freshgro's produce record-keeping

- Ensure produce data is accurately entered into Freshgro's record-keeping system

- Ensure Weekly Quality Assurance records for Freshgro's QA record-keeping system are accurately entered

- Establish regular audit routines to assess the effectiveness of record-keeping practices

- Train staff on proper record-keeping practices and the importance of maintaining quality standards, ensuring compliance among all team members

- Develop and maintain all processes required to perform the role

Person Specification

Qualifications/Experience

- Experience in administrative roles and quality assurance, preferably within a similar industry, is preferred

A minimum of 1-2 years of administrative experience is required for this position.

Basic record-keeping experience in quality assurance is required for this role.

Skills & competencies

· Communication skills, including oral, written and interpersonal. The ability to interact with all levels, including internal, external stakeholders and clients. The ability to articulate the vision and requirements clearly and concisely, varying communication style depending upon the audience.

· Analytical problem-solving and decision-making skills to take ownership and find solutions to the challenges faced

· Planning, prioritisation and organisational skills, including the ability to meet deadlines and delegate

· Knowledge of Freshgro's business requirements and activities

· Computer skills including Xero, Microsoft Office suite, Google Docs, and AI.

Basic navigation skills in Xero accounting software are required for this role.

· Teamwork: willingness to assist and support others as required and get on with team members. To create the culture required of the Freshgro's Team to achieve the business outcomes.
