We are seeking a dedicated and proactive receptionist to join our team, supporting chiropractic, psychotherapy, and counselling services. The receptionist will work closely with clinicians and other administrative staff to maintain a welcoming, well-organised, and high-functioning clinic environment.
Key Responsibilities
Process and oversee accounts receivable and payable.
Ensure Medicare, private health insurance, and EFTPOS billing systems are maintained and up to date.
Maintain accurate financial records and generate regular financial reports.
Support payroll coordination, including superannuation and leave records.
Operational Management:
Develop, maintain, and implement practice policies and procedures.
Ensure compliance with health and safety regulations, including accreditation requirements.
Maintain and monitor electronic health records and practice management systems (e.g., Halaxy, Iconpractice, Cliniko).
Manage bookings, cancellations, and rescheduling processes to optimise clinician availability. We have 10 practitioners practicing at South West Mind + Body at the time of writing.
Oversee stock and equipment maintenance, ensuring the clinic remains clean, well-supplied, and organised.
Staff and Client Coordination:
Facilitate communication between clinicians, reception, and clients to ensure a seamless client experience.
Develop a warm, professional, and supportive front-of-house environment for clients.
Maintain records of credentialing, registration, insurance, and service agreements for contractors.
IT and Systems Management:
Ensure practice management software and electronic medical records are functioning effectively.
Coordinate with IT support to resolve technical issues and implement software updates.
Ensure strict confidentiality of client and practice information.
Selection Criteria
Experience in medical or allied health practice management, administration, or a related role.
Proficiency in financial management, including invoicing, billing systems, and payroll coordination.
Strong knowledge of Medicare, private health billing, and practice management software (e.g., Halaxy, Iconpractice, Clinico).
Highly developed organisational and problem-solving skills with the ability to work autonomously.
Excellent interpersonal and communication skills with a customer service-oriented approach.
High attention to detail, particularly regarding compliance and administrative accuracy.
Ability to develop and implement efficient practice procedures.
Previous experience in a mental health, chiropractic, or myotherapy clinic setting.
Leadership experience in a small to medium-sized practice.
Adaptable and able to multitask in a dynamic environment
Special Requirements
Ability to work flexible hours if needed.
Proficiency in Google Docs, Trello, Microsoft Office and practice management software.
