About the Role
We are seeking an engaging, professional and highly organised Office Administrator/Receptionist to be the first point of contact for our business. As this key interface for clients, visitors and staff, you will play a critical role in shaping first impressions and representing the company's core values, culture and professionalism.
Reporting to the Finance Manager, you will ensure all front-of-house interactions are welcoming, efficient, and handled with a high level of care, while also providing essential administrative support to keep the office running smoothly.
Key Responsibilities
* Act as the first point of contact, delivering a positive, professional and welcoming experience to all visitors and callers
* Manage incoming calls, emails, and enquiries in a timely and professional manner
* Greet visitors and ensure sign-in processes are followed
* Coordinate meeting rooms, visitor access, and internal notifications
* Maintain a clean, organised, and professional reception and common area at all times
* Sort and distribute incoming mail and manage outgoing deliveries
* Maintain reception systems, databases, and filing (electronic and paper-based)
* Provide general administrative support including document preparation and data entry
* Manage office and administration supplies, kitchen stock and PPE Assist with credit card reconciliations and petty cash management
* Coordinate servicing and maintenance of office equipment
* Coordinate and manage third party cleaning and maintenance services.
About You
* Proven experience in a busy administrative / receptionist role
* Strong customer service and communication skills with a professional and friendly manner
* Ability to build rapport and create positive first impressions
* High attention to detail and ability to multitask
* Proficient in Microsoft Office (Word, Excel, Outlook)
* Well-presented, reliable, and proactive
* Ability to work effectively across all levels of the business
* Pronto experience is highly regarded but not essential (training will be provided)
