Executive Assistant to the General Manager

About the Role
We are seeking an Executive Assistant to provide comprehensive general and administrative support to our General Manager
This is a pivotal role that will require high-level organisational skills, discretion, and the ability to anticipate needs before they arise.
Key Responsibilities
Provide high-level administrative and scheduling support to the General Manager, including calendar management, meetings, travel, expenses, and confidential correspondence.
Serve as the primary point of contact between the General Manager and internal/external stakeholders.
Manage inboxes, prioritise emails, flag critical items, and oversee workflow and sign-offs to ensure deadlines are met.
Prepare and coordinate high-quality reports, presentations, meeting documents, and follow-up actions.
Process administrative paperwork and support day-to-day operational tasks.
Maintain accurate records and organise documents systematically for easy reference.
Create procedures, systems, checklists, and templates to enhance efficiency.
Manage onboarding and off-boarding processes, ensuring staff have required technology, office access, and materials.
Handle confidential information with discretion and professionalism.
Chase invoices and complete ad-hoc administrative duties as required.
Run general errands as needed, including post office trips, office supply collection, and attending properties.
Prepare and distribute internal communications, including staff updates, business news, and announcements.
Organise and support internal meetings, events, training sessions, and conferences.
Organise staff events, including the Christmas party and ad-hoc celebrations.
Lead and contribute to office culture initiatives, including team activities and wellness programmes.
Bring warmth, energy, initiative, and a positive presence to the workplace, supporting a great office environment.
Qualifications
3+ years of experience in an assistant role or similar position.
Exceptional organisational and time-management skills.
Outstanding written and verbal communication abilities.
Proficiency with Microsoft Office Suite and other relevant software.
Strong problem-solving skills and attention to detail.
Ability to work independently and exercise good judgment.
Professional demeanour and strict confidentiality.
