Job Specifics
* Office-based role, located at our Head Office in Mount Waverley.
* We're open to the successful candidate working flexibly across each day, say 9:30am – 2:30pm, Monday - Friday.
* 25 hours per week.
The Role
We are seeking an Administration/Accounts Coordinator with a flair for accounts and general administration to join the Clean TeQ Water team and be our office all-rounder. You'll play an essential role in keeping our office running smoothly. As a natural caretaker and organiser, you enjoy supporting the team and providing administrative and accounts support across the business.
Some of the administrativeactivities include:
* Managing inbound/outbound mail, meeting arrangements, company in-boxes and answering/redirecting phone calls.
* Managing and maintaining office amenities and facilities, including procuring supplies, asset maintenance, equipment, building access fobs, onboarding materials and staff resources.
* Event management (coordinating our business conferences, trainings sessions and events), including ordering catering, booking venues, accommodation and transport).
* Liaising with outsourced IT providers to ensure network systems are maintained and backed up.
* Implementing administrative policies and procedures and identifying opportunities for process improvements.
* Providing backup support to the Project Coordinator for staff travel arrangements.
* Reviewing employee timesheets, expenses and travel documentations to ensure completion, submission, approval, and reporting.
* General office administration and filing.
The accountsactivities you'll be responsible for include:
* Managing account payable processes, ensuring timely and accurate processing and coding of invoices, expense reports, and payments.
* Raising purchase orders and invoices and maintaining related registers.
* Ensuring financial accuracy, compliance and proper documentations.
* Performing reconciliation and reporting activities.
* Supporting system and accounts payable process improvements.
* Finance and HR ad hoc task support.
About You
You'll bring your experience in a similar role, with skills in office management, accounts payable or general accounting. A certificate or diploma in accounting, finance or related would be great, but not essential.
Your amazing communication skills, exceptional organisation, attention to detail, and high level of accuracy will see you thrive at Clean TeQ Water.
Technically, you'll be confident using accounting software, such as Microsoft Dynamix and Microsoft Office programs (Word and Excel). If you have experience using an ERP, that's a bonus.
