Position Title: Procurement Officer / Parts Interpreter

Location: Pakenham, VIC

Department: Administration

Employment Type: Permanent, Full-Time

Working Hours: Monday to Friday, 8:00 AM – 4:30 PM (with reasonable flexibility)

Position Summary

The Procurement Officer is responsible for sourcing, ordering, and managing stock, including parts and consumables, to support MFI Automotive Group's manufacturing and upfitment operations across both the Pakenham and Laverton North sites. This role ensures that procurement activities align with MFI's financial and operational authorisation processes while supporting the company's transition towards a more Just-in-Time inventory approach.

The Procurement Officer will work closely with suppliers to secure the best pricing and ensure timely deliveries to avoid disruptions to production. The role also involves maintaining accurate internal stock records, participating in stocktakes, and assisting with supplier negotiations in collaboration with the Sales and Production Teams

Key Responsibilities

Procurement & Supplier Management

* Process purchase orders for parts and consumables across both Pakenham and Laverton North sites using MYOB EXO Business.
* Ensure all procurement activities comply with MFI's financial and functional authorisation processes.
* Work closely with suppliers to obtain competitive pricing while maintaining quality and reliability standards.
* Monitor supplier performance, follow up on orders, and escalate delivery delays to minimise production disruptions.
* Maintain strong relationships with key suppliers and seek opportunities to reduce costs and improve efficiency.

Inventory & Stock Control

* Assist in reducing stock levels on shelves where possible by aligning purchasing with production demand.
* Maintain accurate internal stock/part numbers within the MYOB system.
* Work closely with the Stock Controller to conduct and reconcile stocktakes.
* Monitor inventory levels and provide recommendations on reordering thresholds to prevent shortages or overstocking.

Process & System Management

* Ensure all procurement records are accurately maintained in MYOB EXO Business and are up to date.
* Use Microsoft Office 365 (Excel, Outlook, Teams, Word) for reporting, communication, and documentation.
* Support continuous process improvements to enhance procurement efficiency and accuracy.
* Assist in the ongoing transition to a Just-in-Time purchasing model to optimise stock levels.

Collaboration & Communication

* Liaise closely with Operations and Business Development teams to ensure purchasing aligns with project requirements and production schedules.
* Communicate regularly with the Supply Chain & Inventory Manager to review procurement strategies and supplier performance.
* Provide timely updates on stock availability, lead times, and potential supply issues.

Key Skills & Qualifications

Essential

* Minimum 2 years experience in a procurement, purchasing, or as a parts interpreter.
* Experience using MYOB EXO Business or similar purchasing/ERP software.
* Strong organisational skills and ability to manage multiple supplier relationships.
* Good communication and negotiation skills, with an ability to build strong supplier partnerships.
* High attention to detail with a problem-solving mindset.
* Proficiency in Microsoft Office 365 (Excel, Outlook, Word, Teams).

Desirable

* Experience in automotive, manufacturing, or similar industries.
* Understanding of Just-in-Time (JIT) procurement principles.
* Prior exposure to stock control and inventory management.
